Professional Emails and Follow-Ups That Get Replies

You'll be able to write clear, polite emails for applications, thank-you notes, and follow-ups, and know when to send each one so it gets read.

A good email is short, specific, and easy to say yes to. Whether you're reaching out, saying thanks, or checking in, the same few habits make people more likely to reply.

The anatomy of a professional email

  • Subject line: clear and specific. "Production Intern Application – [Your Name]" beats "Hi" or "Question."
  • Greeting: "Hi [First Name]," works for most emails in entertainment and tech. Use "Dear [First Name] [Last Name]," if the setting feels more formal.
  • Opening line: who you are and why you're writing, in one sentence.
  • Body: two to four sentences with the details they need.
  • Ask: one clear request or next step.
  • Sign-off: "Best," or "Thank you," followed by your full name.
  • Signature: your phone number and one relevant link, like your portfolio.

Aim for something they can read on a phone without much scrolling.

Five rules that get replies

  1. Make the subject line do the work. Include the role or context so it's easy to find later.
  2. One email, one purpose. Don't bundle three requests together.
  3. Be specific. Name the posting, the conversation, or the project you're referring to.
  4. Make the next step easy. Attach what they need, offer times, or ask a simple yes-or-no question.
  5. Double-check names. Spell their name and the company's name correctly.

Also use a simple, professional email address, ideally some version of your name.

Sample 1: Applying or reaching out

Subject: Social Media Intern Application – [Your Name]

Hi [First Name],

I'm a junior studying marketing at [School], and I'm applying for the Social Media Intern role I found on Intern Nation. For the past year, I've run the Instagram and TikTok accounts for my school's music collective, planning a weekly content calendar and editing short-form video.

I've attached my resume, and my portfolio is linked below. I'd love the chance to talk about how I could support your team this spring.

Best, [Your Name]

Sample 2: Thank-you after an interview

Subject: Thank you – Production Intern interview

Hi [First Name],

Thank you for taking the time to speak with me today about the Production Intern position. I really enjoyed hearing how your team preps for shoot days, especially how interns help put together call sheets.

Our conversation made me even more excited about the role. Please let me know if there's anything else I can send your way.

Best, [Your Name]

Sample 3: Following up when you haven't heard back

Subject: Following up – Music Marketing Intern application

Hi [First Name],

I hope your week is going well. I wanted to follow up on my application for the Music Marketing Intern position, which I submitted on [date]. I'm still very interested in the role and would be glad to share anything else that would be helpful.

Thank you for your time.

Best, [Your Name]

When to follow up

  • After an interview: send a thank-you within 24 hours.
  • After applying: if you haven't heard anything in one to two weeks, one polite follow-up is reasonable.
  • After they give you a timeline: wait until that date has passed, then check in.
  • After two follow-ups with no reply: let it go gracefully and put your energy into other opportunities.

Common mistakes to avoid

  • Vague subject lines like "Hello" or "Internship."
  • Long paragraphs that bury the actual request.
  • Sounding demanding, such as "I need an answer by Friday."
  • Forgetting the attachment you mentioned in the email.
  • Copying the same message to many people with a visible list of recipients.
Tip: Write important emails, then wait ten minutes before sending. A fresh read catches typos you missed the first time.
